Typically, when you set up a new event in Ministry Sync, our support team incorporates your graphic and customizes your Registration Form and other templates, if necessary.
After we have finished customizing your templates, we notify you that they are ready for your approval. We want you to know how your templates work, so we recommend that you test them in real-life scenarios by performing some tasks that will allow you to see how the templates look and function. Feeling comfortable with how your templates work will allow you to be more at ease during the registration process.
It is important that you understand how your templates work before distributing them to your potential guests. We recommend that you complete a thorough testing of your templates before your event goes live.
If you notice that a change needs to be made on any of the templates, we strongly encourage you to contact the support team to make the necessary modifications instead of trying to make the changes yourself.
Thank you for your cooperation in this matter! Our goal is to deliver the highest quality service to you and your guests.
There are several other templates, but the four (4) most important ones will be discussed below.
How to test your templates:
-
Invitation Email
The Invitation Email template is what your guests will see when you send them an electronic invitation to your event.
Through this email, they will have the opportunity to say "Yes, I can attend your event", and then proceed to register themselves for the event.
- Click Invite in the dark blue bar underneath the Registration Manager tab.
- Enter your email address in the first text box. Feel free to also invite a friend, your spouse, or anyone else who can assist you during this testing process.
- Enter text in the Add a personalized note area. Change the font, font size, color, and other attributes if you wish to experiment with these items.
- If you would like to be notified when your guests respond to your invitation email, check the Email me when my guests register checkbox.
- Click the [ Preview ] link at any time to see how your invitation email looks.
- Click Send Invitations.
- Please allow several minutes for delivery, then check your email.
-
Registration Form
This is the template that your guests will use when they register for your event.
To test this, you can register yourself for your event (you can always
cancel your registration after performing this test; see the link below).
After you have received the invitation that you emailed to yourself in the previous steps, you can register yourself for your event.
- In the email you just received, click the Register or Accept button (your template wording may differ as a result of your specific event requirements), and the Registration Form template will load.
- Complete the registration form by entering all of the requested information. (Typically, bold fields are required, and the form states this.)
- In order to test the Host Information Email (below), be sure to check the box that says Yes, I would like to be a Table Host. (again, your wording may be different, depending upon which type of event you are planning).
- Thoroughly test the Registration Form by omitting some pieces of information, and clicking the Finished button. The form should not allow you to submit it if required fields have been left out. Try to fill out the form as if you were a "normal" guest, and try to act as they would.
-
Confirmation Email
After you have completed the registration process in the steps above, you will receive an email that confirms your registration.
It will be typically be titled Thanks for registering for the [your event name].
Thoroughly look this email over when you receive it, and check for errors. The email will contain all or most of the information that you entered into the Registration Form, plus details about your event (date, time, place, etc.).
Please be sure that all of the information contained in this email is correct.
-
Host Information Email
After you have completed the registration process in the steps above, you will also receive an email that thanks you for being a table host. This email contains instructions for how to manage your table online.
This email will typically be titled Table Host Instructions: [your event name]
This email will contain a link called Manage My Table (again, the exact terms used in your templates may differ if you are having a different type of event, such as a walk, or a golf outing).
Clicking Manage My Table will give you access to your online Host Manager, where you can invite guests, cancel guests, send emails, and more. Click here to learn How To Test The Host Manager.
Your table hosts will need to retain this email during the entire course of the registration period for your event, as it is how they will have access to managing their group.
After you have performed the test steps outlined above, you can cancel any guests that were entered strictly for test purposes.
